Job overview An exciting opportunity has arisen for conscientious, enthusiastic and highly motivated candidates to join the Gastroenterology Administrative Department at Hemel Hempstead General Hospital, with cross-site cover when required.You will be providing efficient and comprehensive administrative support to our Inflammatory Bowel Disease (IBD) Specialist Nurses.The post holder will work closely with the IBD Nurses, their immediate colleagues, and other administrative and clinical members of the Gastroenterology service. This post is 30 hours per week, Monday to Friday. Detailed job description and main responsibilities The successful applicant will provide an efficient and comprehensive administrative service including being responsible for: The post holder must be fully conversant and competent in the features of the administration system which supports all aspects of the managing outpatient IBD Nurse appointments/booking/cancelling/rescheduling IBD.The post holder will be expected to have full knowledge of the contents of the Patient Access Policy. Be responsible for daily checking and managing generic IBD email inbox.Be responsible for the quality and integrity of information concerning patients kept on systemsTo be responsible for monitoring all DNA’s and rescheduling appointments when required.To be responsible for calling all patients prior to appointment date to confirm attendance. To be responsible for liaising with outpatient department if any clinics need to be cancelled or ad hoc clinics need to be requested.To be responsible for answering calls and dealing with relevant queries.Liaise with PALS team when interpreter is required In addition to own workload the post holder will be expected to provide support in the department during annual leave, sick leave and during busy periods where there is an imbalance of work. This includes cross site coverEnsure the day-to-day smooth running of the department through maintaining office systems including the development and maintenance of paper and electronic filing systems to ensure the safe transfer and storage of informationTo act as a first point of contact and to provide an efficient message communication service for the team, as requiredBe responsible for providing excellent communication and informationfor patients coming into hospital. Communication with other members of the gastroenterology and endoscopy team.Highlighting any concerns in a timely manner to line managerTo attend departmental meetings as appropriate to the postThe post holder will be expected to undergo further training when systems are updated and to implement changes into their own working systems.Send GP and patient clinic letters with tests both pre and post clinic appointments.Action MDT outcomes sending patient letters and tests, gathering information from other trusts and departments, booing outpatient appointments.To send and receive and store e-mail/ message on behalf of the team and respond as appropriateTo be responsible for the ordering of all departmental stock/non stock stationery and office EquipmentTo be responsible for departmental equipment being maintained in good working order, acting upon servicing equipment,Reporting of faults, and liaising with relevant departments and services.
