This is an exciting opportunity to collaborate with a managing partner and be entrusted with high-level stakeholder management and coordination as an Executive Assistant for a boutique executive search firm! THE ROLE: - Managing all administrative procedures related to assignments from inception to completion - Producing materials as they relate to client assignments, including recruitment microsites/packs, job descriptions and person specifications, longlist, shortlist and final panel reports, and diversity reports, ensuring all materials are proofread to a highstandard - Entering and retrieving data, ensuring that database and shared drives are up to date and compliant in relation to assignments, and compiling and producing statistics - Liaison with the Finance Manager for prompt and efficient administration of payments and invoices and related financial reporting - Supporting a culture where diversity is valued and championed - Leading administrative relations with high-value Partner clients ensuring seamless communication as required to sustain and build relationships; - Pro-active diary management taking the lead on arranging meetings with close relations where and when appropriate - Providing corporate support in assisting Managing Partner(s) execute their Board and statutory duties as company directors - Ensuring the business is compliant at all times with relevant UK legislation that governs the recruitment industry - Any other duties commensurate with the level and scope of the role and other ad hoc administrative duties ESSENTIALS: - 4 years experience as an Executive Assistant within the professional services industry - Managing all administrative procedures related to assignments from in - A commitment to the values and mission of the company, including: - Managing and following complex administrative systems and procedures - Providing support to senior team members and liaising with a wide range of senior stakeholders - Handling highly confidential and sensitive information - Working in a fast-paced environment with a tight deadline - Excellent standard of numeracy and computer literacy - Exceptional administration skills and attention to detail - Programme and project management - able to identify operational and resource requirements to drive progress and manage and mitigate risk to meet performance targets and deadlines - Communication/interpersonal skills - excellent written and verbal communication skills as well as relationship building focus - Problem-solving skills - ability to act on own initiative and provide prompt, practical, cost-effective solutions to challenges and problems
