Administrator - Maternity Leave

Absolute is operating as a recruitment business for the supply of temporary opportunities. Our Newport based customer is recruiting an experienced Administrator to join them in October to cover an initial 10-month maternity leave.

The Role

The Administration Assistant will be a key contact for administration activities throughout the manufacturing site at Newport, Gwent.

The role will include:

  • General administrative support to the Site Manager.
  • Administrative support to site functions ensuring effective business support to the Department Managers.
  • Preparing and collating a range of documentation for a variety of purposes to support effective functional business activity and operational delivery.
  • Collating site KPI data on a monthly basis.
  • Raising purchase requisitions and orders to facilitate procurement of goods and services, according to the site procedures.
  • Managing contractor exception forms.
  • Greeting of visitors to the site and general visitor support at the security gatehouse.
  • Answering calls and directing as appropriate.
  • Assisting with fire protocol when required.
  • Arranging business travel, transport and accommodation for visitors and employees.
  • Accessing badge administration.
  • Scheduling and attending of Senior Leadership Team and other meetings.
  • Managing incoming daily post to site and for forwarding any correspondence to EMEA HQ.
  • Tracking Charitable Donation requests, seeking appropriate authorization and processing payment requests.
  • Assisting with the organization of events/initiatives, gift vouchers etc.
  • Administering on and management of procurement cards.
  • Assisting in ad hoc projects as required.
  • Health and Safety Administration
  • Collecting and reporting of monthly health and safety statistics
  • Developing / Maintaining a system for the completion and tracking of monthly inspections to include permit audits, housekeeping audits, P2Ps etc.
  • Assisting with the update of HSE related procedures and report monthly on status.
  • Maintaining the action management system and run monthly reports.
  • Assisting in the site COMAH safety report submission, tracking updates, compiling information, printing, and filing paper and electronic copies.

Possess an administrative or business-related-qualification or equivalent.

Have proven experience of administration processes in a business environment.

Possess a high level of organisational skills.

Be service orientated.

Have strong interpersonal and communication skills.

Be able to work in a team environment on projects and provide administrative support to teams throughout the site.

Hours of Work: 37.5 hours per week, Monday to Friday.

Base Salary: £23,725pa.

This is a fixed term contract for maternity cover for an expected period of 10 months.
