As part of a busy, friendly and customer focused team, t he F acilities and Procurement Administrator will support the Facilities and Procurement team with various administrative and communicative tasks, aswell as supporting with ongoing projects within the team

Who you’ll be supporting & more about the role : Day to Day :

  • Logging property issues onto property management system, QFM
  • Answering facilities helpdesk telephone enquiries
  • Raising requisitions on purchasing system, Agresso.
  • Support with Inspire merger project to include new supplier set up, Maxtime and DeChoker rollout, compliance certification, utilities set-up.
  • Support with Fire Risk Assessment actions, in particular with Inspire services
  • Loading compliance certification onto Click intranet, in particular with Inspire services
  • Support with obtaining compliance certification from contractors, in particular with Inspire services
  • Support with chasing contractor late jobs to resolution.
  • Support with running system reports and distribution to contractors and stakeholders.
  • Setting up property assets, in particular with Inspire services
  • Supporting with ad-hoc facilities and procurement projects
  • Supporting with a variety of administrative duties
  • Following policies and procedures and contributing to continuous development by reporting changes that can improve systems and processes
  • Update assorted spreadsheets and populating reports for regular review
  • Liaise with the Facilities and Procurement Coordinator’s to offer administrative support.

Your values : Skills and Experience

  • Maths and English GCSE at Grade C/Level 4 and 5 or equivalent
  • Previous experience in an administrative role is desirable
  • Excellent Communication and interpersonal skills in order to engage confidently with stakeholders at all levels
  • Ability to proactively solve problems
  • Proficiency in Microsoft Office, including Excel and Word
