We have an exciting opportunity for a contract service administrator.

The successful Contract Services Administrator will be a great team player with a collaborative approach to work, acting as the first point of contact for contracting calls and enquiries from our contractors and customers and liaising between the internal team and them. This requires a proactive go-getter, with great attention to detail and the ability to learn quickly.

Role Purpose

As a contract services administrator you will be an important member of the contract services administration team, you will work alongside other administrators to support the department with all day-to-day administration duties.

  • You will liaise with contractors and customers and be responsible for booking jobs into the contracting schedule.
  • You will be solutions orientated and always looking to solve problems efficiently, adapting your interpersonal style to suit different people and situations.

Highly organised and efficient

  • Customer care focused, with an understanding of what great customer service looks like
  • Clear and concise communication skills, both verbal and written
  • Strong teamwork and interpersonal skills
  • Good level of IT skills - strong knowledge and understanding of Microsoft packages
  • Previous experience of working with Epicor E10 or similar ERP software would be an advantage but not essential

It’s helpful but not necessary to have previous experience working in a production/manufacturing business

Key Duties/Responsibilities

Assist in the day-to-day coordination of bookings, informing relevant staff and departments of staff allocation

Assist contracting services administrators with the quoting, invoicing and pricing prior to works being carried out

Communicate copies of pre-works procedures to customers e.g. Risk Assessments & Method Statements

Maintain and keep up to date contracting job spreadsheets

Maintain and keep up to date records of services provided along with job records for customers

Liaise with new customers to set up accounts prior to works being carried out and to chase payment upfront where required

Support other department administrators by recording incoming purchase orders and chase up any overdue post work PO requests

Complete and return sub-contract questionnaires to potential clients when required

Assist the Contracting Services Manager by collating contactors timesheets to assist accounts with monthly processing in payroll

Ensure any team absences are correctly recorded and communicated to the HR department

Collate and maintain monthly data from all contractors and ensure their equipment is recorded and kept up to date

Maintain and keep up to date our contractors Health, Safety, Quality and Environment Folders

Record PQ75 Audit non-conformances and follow up with corrective actions to the Contracting Services Manager and contractors

Assist in coordinating team stand down days and training events

Answer and direct calls, taking messages and ensure prompt responses

Welcome and direct any visitors when needed

Filling of documents/audits

Job Types : Full-time, Permanent

Salary : £22,000.00-£24,000.00 per year
