Outpatient Administrator Band 3

Part Time 30 hours per week working 4 days per week between the hours of 8am - 8pm. Due to ever increasing demands on our service there may be a need for weekend working in the near future.

The role includes working closely with a multi disciplinary team to ensure patients appointments are booked in line with the previous clinical review. The main elements to the role are; Booking patient appointments

Clinic management

Dealing with patient queries over the telephone

Working as part of a team

Liaising with clinicians to ensure patients appointments are booked in line with their needs

The outpatient service is provided across two floors of the Eye, Ear Nose and Throat Centre at the QMC and provides outpatient services to 120,000 patients each year, due to the current climate the way we deliver this service is continually evolving.

Detailed job description and main responsibilities

Be responsible for arranging partial booking follow up appointments.

Using Medway PAS or any other relevant electronic booking systems arrange appointments for new and follow up clinics, as instructed by the directorate management team medical/nursing staff.

Reduce and cancel clinics

Ensure Referral to treatment patient data quality is accurate at all times.

Deal appropriately with enquiries, by telephone and in person, from staff and the general public, seeking advice or referring elsewhere if necessary.

Manage the demand and capacity within the standard operating practice taking decision to escalate to the directorate management team any capacity issues

Training and Qualifications

Essential criteria

  • To be educated to ‘O’ level, GCSE or equivalent standard including Maths and English

Experience

Essential criteria

  • Must be able to clearly and accurately convey information verbally gathered from both verbal and documented reports
  • Experience of working within a multi disciplinary team
  • Understanding of the importance of confidentiality

Desirable criteria

  • Previous experience in an admin environment

Communication and relationship

  • Must be able to clearly and accurately convey information verbally gathered from both verbal and documented reports
  • Excellent communication skills with the ability to communicate with staff and the public at all levels

Salary : The quoted salary will be on a pro rata basis for part time workers.
