General Scope and Purpose

To be totally customer focused by consistently delivering excellent customer service with an informed, friendly and effective approach.

To take enquiries for Meetings, Weddings, Groups & Social Events, and chase bookings to ensure maximum occupancy and Meeting & Events budget is achieved.

To be pro active and always looking for new opportunities

Responsibilities :

  • To be responsible for selling the hotel and always achieving maximum function/meeting room occupancy, whenever possible making additional sales on upgraded packages or food & beverage options.
  • To assist in the maintaining of the smooth running for the Sales Office
  • To pro-actively look at PACE and business gaps and create offers, collateral, campaigns etc in an attempt to mitigate these gaps using the tools such as sales & marketing plan.
  • To pro-actively call Lost Business, lapsed users, denied business to identify new opportunities and convert into confirmed bookings
  • To develop relationships and account manage existing customers and to identify new opportunities within these accounts to increase revenue.
  • To pro-actively identify, research and develop new leads already on site, in our database or from incoming enquiries. Converting from new lead to active customer.
  • To pro-actively call customers to encourage repeat business, identifying booking patterns and windows.
  • To pro-actively answer wedding enquiries, conduct showarounds & final detail handover meetings with the Operations Team. Drive demand within this segmentation.
  • To pro-actively ensure all 3rd party websites are up to date with relevant imagery, hotel facts, offers etc
  • To pro-actively engage with brand & M&T Central Team on any Global Account opportunity or High Value enquiry to support conversion. Channels such as Sales Activities, Trade Shows & Networking events.
  • To ensure all bookings received are recorded correctly and updated when confirmed or amended.
  • To ensure all correspondence is answered at once and filed accurately.
  • To ensure relevant deposits, rooming lists and final details are received in a timely manner and issued on a function sheet to the operations team
  • To be aware of customer requirements in order to eliminate customer complaints.
  • To deal with guest complaints relating to their bookings and communicate their concerns to the appropriate manager.
  • To assist with training other Team Members on the booking system as requested and to keep accurate training records.
  • To send out amended function sheets for the next working day at the end of each day.
  • To maintain a professional working relationship and good communication with the Reservations Team.
  • To provide up-to-date information for all departments as agreed.
  • To take part in competitor visits in order to update the SWOT analysis and to carry out mystery shop calls and Internet searches on those hotels as required
  • To keep the Sales office/area clean and tidy at all times.
  • To represent the department and carry out the following duties
  • To consult with the General Manager and Revenue Manager in respect of group/agency bookings
  • To liaise with the Sales General Manager/ Revenue Manager regarding special rates/ discounts where not already pre-arranged.
  • To Liaise with the Sales Manager with any opportunities of new leads or corporate bookers
  • To attend meetings as required.
  • To undertake any other reasonable project as requested by your Sales Manager/General Manager to grow and improve the business.
  • To operate I.T. systems in line with Company standards.
  • To attend when required both internal and external training courses.
  • To ensure on all occasions you observe safe and hygienic working practices in order to satisfy Health & Safety at work, fire procedures and other statutory legislation.
  • To be fully aware of and comply with hotel and Company rules and regulations as detailed in the Company Handbook, on notice boards and in policies and procedures.

This Job Description cannot be exhaustive due to the peculiar requirements of the hotel industry. Therefore, the job holder may be required from time to time to carry out tasks requested by the Management.

Salary : £24,000.00 per year

  • event sales: 2 years (required)
