Firntec Ltd is a building safety consultancy providing a variety of building compliance service currently specialising in fire safety working and operating nationally in a variety of sectors providing a variety of technical consultancy and surveying services.
As we continue to grow, we are seeking a dedicated and highly organised Executive Assistant to directly support our Managing Director with daily administrative and secretarial duties. Please note that this is a full-time office-based role.
Role Responsibilities: · Manage diaries/calendars and organising meetings and appointments (Virtually and in person). · Booking and arranging travel, transport and accommodation. · Reminding the Director of upcoming meetings and deadlines. · Preparation of company documents. · Email/Inbox, call and WhatsApp monitoring for MD; ensuring relevant messages/information are relayed, and follow up where appropriate. Managing and responding to emails on the MD’s behalf. · Prepare meeting agendas and minute taking. · Collate information, prepare reports, presentations, and correspondence as requested. · Following up reports internally daily from the relevant departments · Managing databases and CRM Systems – NetSuite, HubSpot, Salesforce. · Liaising with department leads and clients as required. · Running errands – this may include shopping, buying gifts, postage, lunch etc. · Reminding the Director of personal commitments when necessary. · Flexibility to be available for ad-hoc tasks or calls.
Personal Specification: · Proven work experience of 2 Years + within PA/EA role. · Discretion and trustworthiness. · Flexibility and adaptability. · Good verbal and written communication skills. · Strong organisational skills and the ability to multi-task. · The ability to be proactive and take the initiative. · Computer literate: good knowledge of all MS office packages, especially Excel and knowledge of standard software packages and the ability to learn company-specific systems. · Full driving licence is essential.
