Purpose of Job

Reporting to Senior Administrator and the Management Team, to manage day-to-day reception cover, office administration, day to day filing and general office work.

Main Duties

  • To effectively handle incoming and outgoing telephone enquiries, including signposting clients to the correct service internally.
  • Providing administrative support to administrators and senior administrators.
  • Typing team meeting notes and distributing once typed up to the team and management.
  • In the absence of Executive Assistant, Updating Social Media presence with upcoming events and up to date information.
  • Assist with the organisation of projects and events where necessary.
  • To prioritise diary appointments whilst liaising with colleagues and external contacts and clients.
  • To devise and maintain office administration systems to ensure the efficient day to day running of the service.
  • To methodically file onfidential documents to ensure all paperwork can be evidenced and tracked, maintaining accurate, confidential office records and files.
  • To cover a range of general day-to-day office administration duties such as ordering and maintaining stationery and equipment, photocopying, printing, scanning, distributing and sending post.
  • To undertake such other functional tasks as may from time to time be required by the management.
  • To always represent Wirral Change in the best possible manner and to promote the good name and image of the Organisation.
  • Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases.
  • Devising and maintaining office systems including databases to record statistical information about projects and events.
  • Answer and assist with the room hire booking and the interpreting service booking, to pass the requests to the senior administrators.
  • Taking minutes of weekly Team Meetings.
  • Liaising with staff in other departments and with external contacts.
  • Sorting and distributing incoming post and organizing and sending outgoing post.
  • Carry out any other administrative tasks as dictated by Administrator, Senior Administrator or Management Team.

Hours: Admin Assistant; Full Time 35 hour a week. Core hours service to be provided 9:00 am to 5:00pm.

Monday to Friday

  • Driving Licence (preferred)
